The Operations Assistant plays a key role in supporting the effective administration and smooth day-to-day running of church operations.
Key Responsibilities: Due to the varied nature of this role, the following list is not exhaustive but aims to provide a clear overview. Tasks are not listed in order of importance, and weekly priorities may shift. These will be regularly reviewed with the role holder. Administration Assist Church Leaders, ministry leads and the Director of Operations with administrative tasks. Support and implement effective and up-to-date processes and procedures for the smooth running of Sunday services, midweek programmes, and church and community events. Set up new starters in St Peter's systems such as Google Workspace, ChurchSuite, Xero, Dona, iZettle, Squarespace, and Canva; provide inductions and basic training where required. Maintain systems including Google Workspace, ChurchSuite, Xero, and other platforms. Carry out DBS checks for staff and volunteers and Act as the main point of contact for DBS checks. Order and restock supplies for church and Love Brockley activities and events, and ensure kitchens are stocked weekly for Sunday and midweek events. Support the Facilities and Caretaker Lead on event set-up and set-down in both the church building and the vicarage. Act as first point of contact with the Diocese for admin-related matters. Manage the main church mailbox and distribute incoming post. Provide administrative support to clergy for baptisms, weddings, funerals, and publication of banns. Support basic communications tasks, including updates to the website and newsletter as required. Support the PCC Secretary in preparing APCM documentation and providing support at the APCM meeting. Finance Raise bills and invoices in Xero, upload receipts and backing documents, and reconcile monthly. Assist staff with Dona, Stripe, and iZettle machines; ensure functionality is maintained. Manage giving and attendance records via ChurchSuite for both services Ensure that ministry leads are updating ChurchSuite, attendance for all midweek events. Support the Finance Manager and Director of Operations with bookkeeping. Ensure accounting systems are kept up to date in line with financial procedures. Deposit cash at the bank as required. Hold the church card and ensure payments are made to relevant suppliers in a timely manner. Assist the Finance Manager with maintaining the Fixed Asset Register. Health & Safety and Safeguarding Ensure full compliance with the church's Health & Safety Policy. Assist with coordinating fire drills and safety training for staff and volunteers. Ensure compliance with St Peter's and the Church of England's Safeguarding Policies, promoting a safe environment for all, and work collaboratively with the Parish Safeguarding Officer (PSO) to uphold safeguarding standards. Complete safeguarding training as required by the Diocese, keep up to date with best practice, and report and respond to any concerns in accordance with diocesan and parish procedures. Service and Events Management Serve on duty during services and church events; act as Duty Person (main point of contact) when needed, including across all three Sunday services. Act as Duty Person when required across services and events (current requirement is to manage both morning services). Oversee welcome and hospitality rotas for all back-of-house teams; organise volunteer socials and training. General Handle church data in accordance with confidentiality and data protection policies. Attend supervision, training, team meetings, and one-to-ones as required. Offer support to the wider network of churches, including advice to operations counterparts. Create and maintain digital filing systems. Troubleshoot issues with office and kitchen equipment. Ensure that all kitchen cupboards are cleaned out and wiped down each term. Support Comms Lead in updating different mediums where required. Work flexibly in response to operational needs and event schedules. Cover team members where required. Maintain active involvement in the life and mission of St Peter's Church.
