We are a young conservative evangelical church in the City of London, with a Sunday church and four midweek ministries. We are seeking a highly organised, proactive, and versatile Operations Manager to provide 12-months of maternity cover from March 2025.
Media, publicity and technology management - If skilled in graphic design, create visually engaging graphics for sermon series, events, and church activities to enhance promotion. Coordinate with ministry leaders to ensure designs align with each ministry's needs. Produce printed publicity materials, such as flyers, posters, and banners and communicate with the Administrator to ensure they are ordered in a timely manner. - Manage the church's social media platforms by creating and scheduling posts to engage the congregation and community, promoting church activities and events effectively. This will include photography and videography for promotional materials. - Regularly review the church's websites and ensure they are up-to-date with fresh content, and remain a valuable resource for the congregation and those looking in. - Provide proofreading support for the wider staff team by reviewing various publications before printing (including Small Groups prep books), ensuring accuracy, clarity, and consistency. - Maintain and troubleshoot office and PA/AV equipment and software, including printers, the projector and the WiFi network to ensure smooth daily operations. Event coordination - Plan, organise and execute church events, with the assistance of the Administrator, working closely with ministry staff, volunteers and visiting speakers to ensure logistics and resources are in place. This will include booking any external suppliers, applying for Temporary Event Notices, organising ticket sales, ensuring food and drink are ordered, and producing printed materials. Ensure that church events are effectively promoted. Attendance at these events is required; to set up, host and clear up with the wider staff team. - Lead the organisation of Christmas carol services, including venue bookings, music requirements, decorations and refreshments. Coordinate with ministry leaders to recruit volunteers to read and ensure that reading passages are circulated prior to services. Distribute publicity to local businesses and coordinate seat reservation requests. - Oversee the scheduling and management of external bookings for building hire, ensuring that all inquiries are handled promptly and professionally. Liaise with the Minister in Charge to discuss requests on a case-by-case basis. Meet with the rental party to discuss the building hire agreement and restrictions of use, and ensure that all requirements, such as room setup, equipment, and access are met. Maintain accurate booking calendars and ensure proper communication between the church and rental party. Liaise with The Wren manager where barista staffing forms part of the event booking. Volunteer and staff management - Oversee the Sunday serving team rotas, managing the recruitment of new volunteers and supporting serving team leaders, ensuring all are well-equipped to fulfil their duties. Periodically review serving team briefs to ensure that they accurately capture the ministry needs for the role. - Oversee the safe recruitment of children's work volunteers, alongside the Children's Work Administrator, including completed DBS checks, satisfactory references and completion of safeguarding training. - Assist with staff recruitment processes by drafting job descriptions, creating compelling job advertisements, and coordinating the posting and promotion of open roles. Support the hiring team in screening applicants and organising interviews, ensuring a smooth and efficient recruitment experience. Request references and arrange DBS checks (when required) for successful applicants. Lead the induction process for new staff. - Provide direct line management to the Administrator, holding weekly meetings to review tasks, set priorities, and address any challenges. Ensure that all administrative duties are completed efficiently and support the Administrator in their role by offering guidance, feedback, and resources as needed. Building management - Schedule and oversee annual maintenance inspections for essential building systems, ensuring all inspections are completed on time, comply with safety regulations, and that any required repairs or updates are promptly addressed to maintain a safe and functional environment. - Respond promptly to any building maintenance issues, assess the situation, and implement effective solutions, including corresponding with qualified contractors as needed. - Plan and execute strategic building projects, overseeing all aspects of project management. Responsibilities include gathering quotes, coordinating with contractors, seeking necessary approvals, securing funding, and managing the installation process. - Maintain relationships with external contractors and service providers, ensuring smooth and efficient operations which meet the church's needs. - Manage access requests from telecoms equipment operators. Office management and administration - Manage the daily operations of the church office, including answering the phone, responding to emails, and ensuring a welcoming and efficient environment for staff, members, and visitors. - Maintain the church diary to schedule meetings, events, and activities, ensuring effective coordination of all church-related engagements. - Ensure compliance with necessary Church of England administrative processes, such as fulfilling legal obligations for marriage documentation. - Ensure compliance with data protection legislation. - Provide administrative assistance to the Minister in Charge, including preparing handouts, presentations and email communications as needed. Safeguarding support and compliance - Actively participate in the safeguarding committee, collaborating with the Safeguarding Officer to ensure the church adheres to all safeguarding policies and procedures. Assist in implementing safeguarding practices, support regular policy reviews, and contribute to creating a safe environment for all members of the congregation, especially vulnerable groups. - Regularly monitor staff and volunteer compliance with safeguarding requirements, including ensuring completion of mandatory training and maintaining up-to-date DBS checks. Track expiration dates and proactively request renewals or updates as needed to uphold a safe and compliant environment in line with safeguarding standards. - Ensure that visiting speakers are safe to receive, either checking the National Clergy Register or requesting character references from church superiors. Company Secretary - Serve as the Company Secretary for the Board of Trustees, collaborating with the Minister in Charge and Chair of Trustees to develop agenda items and compile necessary documents for distribution prior to meetings. Attend board meetings to accurately take minutes, ensuring thorough documentation of discussions and decisions. Facilitate clear communication and organised record-keeping to support effective governance and compliance. Relationship building - Foster strong working relationships with staff, church members, midweek partners and other key stakeholders to ensure strong partnerships in gospel ministry. - Build strong relationships with members of The Wren staff team, serving as the day-to-day point of contact for communication between the coffee shop and the church. Liaise regularly with The Wren manager to ensure the ministry needs of the coffee shop are supported. - Serve as the first point of contact for members of the public who visit in person with church or building related enquiries, maintaining a welcoming and professional demeanour to foster positive interactions with the community.
- Previous experience in administrative roles, ideally within a church or nonprofit organisation. - Strong organisational and multitasking skills with the ability to manage multiple priorities simultaneously. - Proficiency in, or willingness and ability to independently learn, office and church management software and media tools (e.g. Google Workspace, MailChimp, WordPress, ChurchSuite, Canva and Adobe Creative Cloud). - Excellent written and verbal communication skills, fluent in English, with experience drafting professional correspondence and managing social media accounts. - Strong interpersonal skills with the ability to work with staff, volunteers, and congregation members in a respectful and professional manner. - Ability to handle sensitive information with discretion and maintain confidentiality.

It is important that the post-holder is able to represent the mission and values of St Nick's in all aspects of the role and there is therefore an occupational requirement to be a mature, committed evangelical Christian, as permitted under Schedule 9, Part 1, of the Equality Act 2010.
