This is a busy and sometimes demanding role, suitable for someone with experience and resilience. The hours are minimum of 3 mornings per week, with the potential for more hours and more responsibility if desired.

Responsibilities

PURPOSE To provide administrative support to the Vicar, staff team and church members. To be the first point of contact for visitors and phone calls to the Church Office. To take on the day-to-day aspects of running a busy office, helping to maintain an efficient and well-organised administrative system. To support the Office Manager on a wide-range of operational tasks, activities and events. DUTIES AND RESPONSIBILITIES To undertake the following duties as directed by the Office Manager and in conjunction with office procedures: - Front Office o Provide a receptionist function by meeting and greeting visitors and being the first point of contact for general enquiries o Answer phone calls and deal with general enquiries o Process correspondence received by email / post o Provide access to the church for approved visitors o Monitor and manage the key-holders list - Administrative support: o Assist with preparation for church services, activities and events o Prepare and circulate the church weekly newsletter o Prepare and maintain church literature, promotional material and publications o Type letters / emails as required by the Vicar o Assist with the management and maintenance of the church membership o Oversee the administration for weddings, baptisms and funerals o Maintain records of services, events, activities and other regular matters as necessary o Monitor / order church and office supplies o Monitor contracts/agreements for licences and equipment o Assist with orders, payments, receipts and expense claims o Assist with the regular review and improvement of office procedures o Assist with preparation of documents for PCC and sub-committee meetings - Event management: o Maintain the church calendar in conjunction with the staff team o Take bookings for events and process payments o Assist with arrangements in conjunction with event organiser and staff team o Oversee event promotion / campaigns - Systems admin: o Update the church website with news and other articles as required o Maintain the online 'Hubb' calendar and related booking details - Other responsibilities o Ensure compliance with all laws and relevant regulations, including safeguarding, health and safety and GDPR o Undertake any other tasks as reasonably required by the Vicar and Office Manager

REQUIRED PERSONAL ATTRIBUTES: Essential: - Excellent organisational skills with experience of working in administration in a busy office - Excellent verbal and written communication skills - Excellent IT skills with working experience of Microsoft 365 (Word, Outlook, Excel, Publisher, PowerPoint), use of Dropbox, Sharepoint or experience of similar shared drives - Working experience of Hubb.church or similar content management system (website) Desirable: - Practising Christian - Event management - Working knowledge of Safeguarding - Knowledge of accounts or financial acumen - Knowledge of General Data Protection Regulations (GDPR)

Other

Ideally you will be a committed Christian and demonstrate Christian values in your life and work, and certainly possess a caring, kind and patient nature. You will have at least two years' experience in a busy admin role, be very organised, able to multi-task and detail oriented, with the grace and adaptability to respond to ad-hoc requests as they arise.
